Individuals acting on behalf of the Association must at all times take such steps as are reasonable in the situation to ensure that handling of personal and sensitive information be in accordance with the Australian Privacy Principles.
Personal information to be held by the Association:
- First name
- Surname
- Address
- Date of birth
- Email address
- Phone number
- Image
Sensitive information to be held by the Association:
- Batting hand
- Bowling hand
- Bowling type
- Wicket Keeper
- Selection ratings
- Selection notes
- Media consent
- Medical conditions including medications
Guardians must give consent for players’ sensitive data to be collected as part of the Representative Cricket Portfolio. Medical information is collected for health safety.
The primary purpose of holding personal and sensitive information is:
- Administration Portfolio – for providing contact information for Management Committee members and Club Delegates
- Operations Portfolio – for providing coach, manager and club contact details for all teams
- Representative Cricket Portfolio – for player selections and player attendance at carnivals and championships
The Association only collects information that is necessary for these functions
The information collected is only for the primary purpose and is not to be disclosed to any external party other than Queensland Junior Cricket, Queensland Cricket or Cricket Australia
The primary purpose for collecting personal information includes disclosure to Queensland Junior Cricket, Queensland Cricket and Cricket Australia where their primary purpose is substantially the same as the Association’s primary purpose.
Personal and sensitive information is collected by a request to the individuals or the club to which the individual is affiliated. Information should not be sent by email unless the file containing the information is first encrypted, and the key to unlock the file is sent to the receiver by a mechanism other than email.
For any individuals who opt not to identify themselves, the Association will not collect their personal or sensitive information. As this relates to representative cricket, this means that non-identification will mean that the player will not be available for representative selection as the Association will not be able to identify the player.
If unsolicited information is received, then within three months the association will either destroy the information (if not needed) or contact the individual and seek approval to either keep the information for reasonable purposes or update the information if it is out-of-date.
Personal Information that is collected and held by the Association will not be shared with any overseas party.
Personal and sensitive information is not to be used for direct marketing.
If there is any reason to believe that personal or sensitive information about an individual is not accurate, up-to-date or complete then the individual will be contacted to verify the integrity of the data.
Personal and sensitive information will be stored in a location that requires access credentials.
Player’s and volunteer’s names will be kept for historical records but all other information about an individual that is not required for current operations will be destroyed.
An individual may request access to the information relating to them that is kept by the Association. The Association will provide access to the requested information unless any part of subclause 12.3 of APP 12 will be breached.
If an individual believes that their information has been disclosed or accessed in an unauthorised manner, then this can be brought to the attention of the Executive Officer of the Association who will investigate the claim. We take the privacy of personal and sensitive information seriously and will work with individuals to improve this privacy to their satisfaction.
